Grievance Process

Mammoth Lakes Youth Hockey takes the safety of our players, coaches, officials, and volunteers very seriously. Our goal is to create and foster an environment where every player is empowered to play their best, and where every parent and spectator can enjoy and appreciate those efforts. Despite our best efforts, disputes can arise from time to time.

To provide an efficient, orderly, and fair method of resolving such disputes, Mammoth Lakes Youth Hockey has established this Dispute Resolution Procedure. It is expected that any member who has an issue will utilize this process to seek resolution.

Please be mindful that it takes a significant amount of time and resources to review submitted cases. The administrators of MLYH are volunteering their time to ensure your child has the best possible playing experience. Please review the
MLYH Parents Code of Conduct
read the process below, and be thoughtful as to whether your issue warrants escalation. Please be respectful and patient and remember we are all volunteers doing our best.

POLICY
Members should submit their grievance using the form below. This represents a formal report to MLYH and must be made prior to contacting SCAHA, CAHA, USA Hockey, or any other governing body. Reports are kept on file as a retrievable record, and may be used in further investigations. This process is designed to be a confidential and constructive way to provide a formal report when all other attempts at resolution have been exhausted. Misuse or abuse of this process will not be tolerated. 

DEFINITION OF GRIEVANCE
A “grievance” is defined as any conflict, dispute, or disagreement between Participants–including parents or guardians of a player, coaches, league officials, program administrators, or members of other teams. The grievance must allege a violation of the MLYH Parent or Player Codes of Conduct, the USA Hockey Code of Conduct, or some other circumstance which requires resolution.

PLEASE NOTE!
Issues related to a player’s participation on a team, e.g. playing time, positioning, scoring, or minor discipline; or private, non-MLYH-related disputes between participants, are not grounds for review under this process.

PROCEDURE
All Participants must attempt to resolve grievances expeditiously and fairly at the lowest possible level within the Dispute Resolution Procedure. We live in a small town–just talk about your issue.

24 HOUR RULE
Unless the nature of the grievance requires immediate attention, MLYH members and participants must to wait at least twenty-four (24) hours after the event or incident before initiating these procedures.

PHASE ONE
Grievances about a team, its players or its coaches shall first be presented orally to the head coach and addressed between the parties involved in a spirit of cooperation. Coaches should work with the members, assistant coaches and/or other team officials involved to resolve the grievance internally in an expeditious and fair manner. Coaches are encouraged to meet with members to attempt to resolve grievances in an amicable and informal manner. If the grievance arises between members of different teams, the team managers, Hockey Director, and head coaches of the teams involved should resolve the issue. If the grievance is not resolved in a satisfactory way, the dispute should move on to Phase Two.

PHASE TWO
Issues not resolvable by the coaches and managers at the team level. or issues where the subject is more sensitive shall then be referred to the Grievance Review Committee for review. Please submit MLYH Grievance Form to begin the process.

Once received, the Review Committee will consider the grievance and, if deemed necessary, contact the Participants and involved parties to request additional information. The Review Committee has up to ten days after receipt of the grievance to issue a finding. If the grievance is upheld, it is passed along to the MLYH Executive Committee to determine the remedy and/or what corrective action should be taken. The decision of the Executive Committee, and any corrective action, will be communicated to the Participants via email.

PHASE THREE
If the Grievance is not satisfactorily resolved during Phase Two, a Grievance Appeal may be requested. The Grievance appeal will be considered by the full MLYH Board of Directors. The decision of the Board during the Grievance Appeal shall be the final decision. Any further escalation should be directed to SCAHA.
